Terms of Service

Last updated: 21 October 2026

These terms explain how ALM DentaSync (the “Service”), operated by ALM IT Solutions, may be used by subscribing dental clinics and their staff. A clinic's signed agreement with ALM IT Solutions, including its subscription contract, applies together with these terms.

1. Accounts and authorized use

  • Accounts are created for a clinic's staff by the clinic administrator or by ALM IT Solutions.
  • Each person must use their own account. Accounts must not be shared.
  • Use the Service only for your clinic's lawful work, and only access the records your role and your clinic allow you to access.

2. Protecting your sign-in

  • Keep your password private and do not reuse it on other sites.
  • Sign out on shared computers.
  • Tell your clinic administrator straight away if you think someone else has used your account. Clinic administrators should report suspected misuse to ALM IT Solutions.

3. Acceptable use

You must not:

  • try to access another clinic's records, or any record you are not authorized to see;
  • try to get around the Service's security, access controls or limits;
  • upload malicious software, or content you have no right to store;
  • interfere with the Service or with other clinics' use of it.

4. The clinic's responsibilities

  • The clinic is responsible for the information its staff enter, including its accuracy, and for collecting and using patient information lawfully — with the notices and consents its practice requires.
  • The clinic decides who on its staff has an account and which role they have, and disables accounts promptly when staff leave.
  • Using the Service does not replace the clinic's own legal obligations, internal policies or professional judgement.

5. Availability and maintenance

We work to keep the Service available and to fix problems promptly, but we do not guarantee uninterrupted availability. The Service may be briefly unavailable during updates or maintenance, or because of problems with the infrastructure it runs on. Any service levels agreed with a clinic are stated in that clinic's agreement.

6. Subscription and payment

  • The subscription costs ₱1,500 per month (or the fee in your clinic's signed contract), VAT inclusive; no setup fee or other charges. It renews monthly and is paid in advance: the invoice issued on the 1st of each month covers that month.
  • Payments are non-refundable, including for the unused part of a month.
  • Each invoice must be paid within the 7-day grace period. Invoices and payment instructions appear on the clinic's Subscription page.
  • The clinic may cancel at any time, without a cancellation fee, by giving 30 days' written notice to info@almitsolutions.net. The subscription stays active for the month already paid for; a later invoice that is not paid by its due date ends the subscription.

See Subscription & Billing for the details.

7. Suspension, cancellation and your records

  • If an invoice is not paid by its due date — the end of the 7-day grace period — the subscription is cancelled on the day after the due date; clinic administrators are reminded in the Service before the due date. A cancelled clinic keeps read-only access: its users can still view, print and export records, but cannot add or change them.
  • ALM IT Solutions may suspend a clinic's access — for example to protect the Service or other clinics, or in a serious case of misuse. While suspended, the clinic's users cannot sign in.
  • Read-only access lasts 6 months after cancellation. After that, the clinic's account and records are permanently deleted. The clinic should export the records it needs, and remains responsible for keeping patient records as long as the law requires.

8. Support

Signed-in users can use Report an Issue in the Service. Anyone can reach us through the details on our Contact Us page.

9. Changes

The Service is updated regularly; new versions are listed under What's New after sign-in. We may update these terms and will show the date of the latest change at the top of this page. We will tell clinic administrators at least 30 days before a material change — including a price increase — takes effect.
