Subscription & Billing

Last updated: 21 October 2026

ALM DentaSync is offered to dental clinics as a monthly subscription. This page explains the price, how billing works, and what happens if a subscription is unpaid or cancelled.

Price

₱1,500 per month

One clinic subscription, billed monthly in advance. VAT inclusive — no setup fee or other charges. No cancellation fee.

If your clinic has signed a contract with a different fee, the fee in your contract applies. For questions about pricing, contact us.

Billing and payment

  • The subscription renews every month. On the 1st of each month an invoice for that month is issued — for example, the ₱1,500 invoice issued on 1 October covers 1–31 October. Payment is made in advance to continue the subscription for that month.
  • You have a 7-day grace period to pay. The due date on the invoice is the last day of the grace period. If an invoice is issued later than the 1st, you still have the full grace period from the day it is issued.
  • For example, the October invoice reads:
    Amount
    ₱1,500.00
    Invoice date
    Oct 01, 2026
    Due date
    Oct 08, 2026
    Period
    Oct 01 – Oct 31, 2026
  • Invoices appear on your clinic's Subscription page (clinic administrators), with the amount due and a payment QR code. You can pay through GCash, Maya or a bank transfer using that QR code.
  • After paying, upload the receipt or screenshot as proof of payment. Our team verifies it and updates the invoice. A partial payment reduces the balance; the invoice is marked paid once it is fully covered. Payments made another way can be recorded by our team after confirmation.

If a payment is late

  • If an invoice is not paid by its due date — the end of the 7-day grace period — the subscription is cancelled on the day after the due date. Clinic administrators are reminded in the Service a few days before the due date.
  • A cancelled clinic keeps read-only access: users can still view, print and export records, but cannot add or change them.
  • To reactivate, pay the outstanding invoice and upload the proof of payment from the Subscription page. Full access returns once the payment is verified.

Cancelling your subscription

You can cancel at any time, without a cancellation fee, by giving 30 days' notice. The clinic administrator should send the notice in writing to info@almitsolutions.net from the email address on the clinic's account, stating the clinic's name.

Your subscription stays active for the month you have already paid for. You do not need to pay for any month after that: an invoice that is not paid by its due date ends the subscription, and the clinic moves to read-only access.

Refunds

Payments are non-refundable. This includes the unused part of a month when a subscription is cancelled, whether by you or for non-payment.

Your data after cancellation

  • After a subscription is cancelled — by you, or for non-payment — the clinic keeps read-only access for 6 months so it can view, print and export its records.
  • After 6 months, the clinic's account and its records, including patient records, are permanently deleted from the Service. Copies held in our hosting provider's backups are removed as those backups expire.
  • Please export everything you need before then. Your clinic remains responsible for keeping patient records for as long as the law requires.
  • Records that ALM IT Solutions itself must keep by law, such as its own invoices and payment records, are kept for as long as required.

Trial access

ALM IT Solutions may give a clinic trial access to evaluate the Service. A trial does not turn into a paid subscription by itself — billing starts only when the clinic subscribes.

Suspension

ALM IT Solutions may suspend a clinic's access, for example to protect the Service or other clinics. While suspended, the clinic's users cannot sign in. Clinic administrators can contact us about a suspended account.

Changes to the price or these terms

We will tell clinic administrators at least 30 days before a price increase or another material change to these terms takes effect.

Billing details for your own clinic — contract, invoices and payment history — are on the Subscription page after you sign in as a clinic administrator. This public page never shows clinic-specific information.
